Cleaning instructions buried in WhatsApp threads, new agents unsure where to start, no record of what was actually done after a mission — sound familiar? Calensi now has a direct answer: cleaning task lists. Hosts can define a structured checklist for each property, agents tick it off on their phone during the mission, and the host gets a clear summary of everything that was completed.

For Hosts: Setting Up a Task List

Configuration happens directly in your property settings, under the 'Mission' tab, in the 'Task lists' section. Here are the four steps:

  1. Enable the switch labelled 'Enable task lists'.
  2. Choose a starting template — a Calensi template or one of your personal templates — then click 'Attach to property'.
  3. Customise the list: add or remove tasks, mark them as required or as needing a photo.
  4. Save.

Good to know: turning the switch off pauses the feature but does not delete your list. You can re-enable it at any time.

Three Ready-to-Use Calensi Templates

To save you time, Calensi offers three templates suited to different property types:

  • Essentiel (~8 tasks): ideal for studios, one-bedroom flats, and simple rentals.
  • Standard (~14 tasks): designed for two- or three-bedroom apartments and family homes.
  • Premium (~20 tasks): built for high-end properties and concierge-level services.

Calensi templates are read-only. To adapt them, simply duplicate and then edit your copy. Your personal templates can be reused across multiple properties.

How Tasks Are Organised

Each task includes a label, a zone (Kitchen, Bathroom, Bedroom, Living room, Exterior, Other), a 'Required' flag (enabled by default for new tasks), and a 'Photo required' flag (disabled by default).

A few limits to keep in mind:

  • Maximum 50 tasks per list.
  • Maximum 5 tasks with a required photo.
  • Task title limited to 120 characters.

For Agents: The Checklist During a Mission

When a mission starts, Calensi takes a snapshot of the property's task list and attaches it to that mission. Any changes the host makes afterwards do not affect missions already underway.

Tasks are grouped by zone, with required tasks shown first. A counter displays 'X / Y required tasks', and a green 'All set' badge appears once all required tasks have been ticked.

To check off a task, the agent taps the row or the checkbox. If a photo is required, the app opens the camera before confirming the task. The 'Complete mission' button stays greyed out until all required tasks are done.

What the Host Sees After the Mission

Once the mission is complete, the finished checklist is available in read-only mode on the mission record: ticked boxes, proof photos. A valuable resource for handling disputes and maintaining quality standards.

Three Tools, Three Purposes

Calensi offers three complementary tools that are worth keeping distinct:

  • Property instructions (Mission tab): permanent free text — access codes, products to use, linen location.
  • Mission note: a one-off message for a specific mission — e.g. 'Guests checked out late'.
  • Task list: a structured, checkable, auditable checklist — 'Clean the toilet', 'Make the bed'.

In short: the task list standardises what needs to be done; instructions and notes preserve the context (access details, specific circumstances).

Best Practices

  • Start with the Essentiel template, then build it up over time.
  • Reserve required photos for critical checkpoints (5 maximum).
  • Keep access codes in Property instructions, not in the task list.

Is the task list mandatory?

No. It's optional for each property and activated with a simple toggle.

What if I update the list while an agent is on a mission?

The mission in progress keeps the version of the list from when it started. Your changes will only apply to future missions.

How many photos can I require?
